Mentor Program Manual

These guidelines apply to all mentors and mentees in the Mentor Program.
 
The Mentor Program provides newly licensed agents with a partner and a path to gain the fundamental knowledge needed to start and build a successful real estate career. Each new agent, known as the mentee, is paired with an experienced agent who has been certified through the Mentor Program. This pairing occurs shortly after a new agent’s license is transferred to eXp Realty. Members of the Mentor Program team pair mentees with mentors who share their geographic area.
 
Certified Mentors must demonstrate proficiency in the field of real estate and be approved by the State Broker Team. The mentor’s objective is to provide guidance in a practical, hands-on way, and to lead new eXp agents through each step of the process for their first required transactions.
 
Mentees will also be enrolled in an 8-week rolling course called the GO! Curriculum, which covers a broad variety of topics in real estate fundamentals through eXp’s learning management system.
 
The decision to evaluate and/or issue waivers from the Program is determined on a case-by-case basis. If you’d like to know more about this process, please reach out to the Mentor Program at mentorprogram@exprealty.net.

Mentee Overview

The Mentee Overview explains the Mentor Program in depth from the perspective of the mentee; it details processes and why a mentee has been identified to complete the Mentor Program. It also provides important resources and contact information to help ease the transition to eXp Realty!

Mentee Checklist

The Mentee Expectation Checklist covers all mentee expectations while enrolled in the Mentor Program. It also covers realistic expectations of a Certified Mentor and provides relevant resources needed to be successful in real estate.
 
Surveys
Surveys give the opportunity to enhance the experience within the Mentor
Program by using agent feedback to guide support and improvements. Mentees will receive pairing, transaction, and graduation surveys during the course of their time in the Mentor Program. Mentors will also be given the chance to provide feedback on their experience in the Mentor Program. Survey results will assist the Mentor Program in refining and creating meaningful connections within the eXp community.
 
The pairing survey will be sent shortly after you have been paired with a mentor. This survey is sent to ensure you have everything you need to succeed in this program.
 
Transaction surveys will be sent at each closing while in the Mentor Program. We aim to empower you to share your experiences in the program. This is your opportunity to let us know if you are feeling supported through your mentorship journey.
 
The graduation survey will be sent at the conclusion of your time in the Mentor Program. This survey seeks an evaluation of your mentor (if you are a mentee) or your mentee (if you are a mentor) through a two-way rating system. Please refer to the guide provided below to determine the corresponding star rating for your mentor/mentee.
 
10-9: Exceptional
8-7: Great
6-5: Average
4-3: Poor
2-0: Very Dissatisfied
 
It is important to keep in mind that you are rating only your mentor/mentee and not the overall program or company. Your response should be based on your personal interactions with the individual, did they miss, meet, or exceed expectations (Mentee Expectation Checklist, Mentor Expectation Checklist).  Your candid and open assessment of your mentor/mentee is vital to ensure the program is providing the best mentorship experience possible.
 
For those who qualify, the Mentor Program is mandatory. It is the goal of eXp to provide value and support through your enrollment in the program. Taking this opportunity to reflect on your journey with your mentor/mentee and providing honest feedback ensures that the program consistently delivers optimal value. Make it a point to let your voice be heard.
 
Mentor Changes
There are various reasons a mentee might have the need to change mentors. If there is a justifiable reason to switch mentors, and the existing mentor is notified and in agreement, you may request a Change of Mentor Form by emailing mentorprogram@exprealty.net. Please state the reasons for the change and include the new mentor name on the form. The Mentor Program can also provide names of mentors for the mentee to call and pick from. Forms without new mentor selections will not be processed. Once a mentor has been selected, the Mentor Program will complete a Mentor Change Form and send it electronically for all parties (mentee, current mentor, broker) to confirm and complete.
 
Should a mentee feel their assigned mentor is not fulfilling their role and responsibility as a Certified Mentor, is unresponsive to the mentee, or is operating with unethical practices, the mentee is encouraged to contact the Mentor Program immediately. There will be an evaluation of the concerns brought forward and the appropriate steps will be taken to address the concerns. Escalation paths may involve the state brokers. The state team always reserves the right to terminate the pairing should they deem it necessary.
 
If the mentor leaves eXp Realty the mentee will automatically be queued for a reassignment to a new mentor. Please note that this will not occur until the mentor has officially off-boarded from eXp. If you are made aware the mentor is in the process of offboarding in advance but is still active with eXp, please email mentorprogram@exprealty.net so that the reassignment can be initiated.
 
Please note that if the originally assigned mentor has met and/or held virtual training sessions with the mentee, with time and resources being expended on part of the mentor prior to the mentor change request being made, the Mentor Program reserves the right to collect the 20% fee, most especially if there is a transaction under contract for the mentee. If there are reasons the mentor should not be paid, please list those reasons on the form. All Mentor Change Form requests will be reviewed and the outcome will be decided on a case-by-case basis. The Mentor Program and/or broker reserves the right to deny any mentor change deemed unwarranted.

Teams

Standard and Mega Teams
eXp agents on a Standard or Mega  Team are exempt from the Mentor Program. If they are on a Standard or Mega Team and were added to the Mentor Program, they need to communicate with the Onboarding Team (onboarding@exprealty.net) to complete the required team documentation. A new agent, in the process of joining a team, will remain in the Mentor Program with a status of “to be paired,” UNTIL their team documentation is completed. Pairing will proceed for these Mentees IF their Team Docs are not executed within 30 days.
 
Team Leaders or Team Members must be licensed in the same state as the mentee to have them waived from the Mentor Program. Once the team documents are uploaded into Enterprise and the Program is notified, the Mentor Program team will remove the mentee from the Program. They can email mentorprogram@exprealty.net if assistance is needed.
 
If the team does not have state alignment by Team Members or Team Lead, the mentee cannot be waived from the Mentor Program, and will be paired with a Certified Mentor who is licensed in their state. *State alignment defined as team member/leader licensed in the same state as mentee.
 
Mentees are allowed to join a Team while participating in the Mentor Program, though it is encouraged that Teams allow mentees to complete the Program before recruiting them to their team. This will allow for the full training of a new agent and fair compensation to the Certified Mentor working with that mentee.
Self-Organized Teams
If a mentee is on a Self-Organized team and the team lead is a Certified Mentor, the mentee can be waived IF the mentor/team lead is licensed in the same state as the mentee. If you are a Self-Organized Team Lead who is a Certified Mentor and you would like to keep your mentee enrolled in the Mentor Program you must contact the program to prevent them from being waived. Domestic Teams
Primary agents of domestic teams are required to participate in the Mentor Program if the agent is newly licensed or completed less than three transactions in the past 12 months. Secondary agents are waived from the Mentor Program. If the secondary agent is added to the Program in error please contact mentorprogram@exprealty.net.
 

LEAVING EXP RESIDENTIAL

Migrating to another eXp Brokerage
When migrating to another eXp Brokerage, please notify the eXp Mentor Program. This will allow us to assist you with any transactions you have currently pending, and to make sure the person you're paired with has been notified of your departure- allowing us to release you from the program in the most timely fashion, allowing you to migrate as quickly as possible.
 
Commercial & Referral Brokerage Migration
Mentors: Please notify the eXp Mentor Program to let us know that you will be transferring to eXp Commercial or Referral. Please reach out to the eXp Mentor Program at mentorprogram@expreatly.net with: information about any active mentees you are paired with, any active/pending transactions you have assisted those mentees with.
 
Mentees: Please notify the eXp Mentor Program to let us know that you will be transferring to eXp Commercial or Referral. Please reach out to the eXp Mentor Program at mentorprogram@exprealty.net and let us know who your current mentor is, and if you have any pending transactions with them.
 
Offboarding eXp
Mentors: Please notify the eXp Mentor Program to let us know that you will be leaving eXp. Please reach out to the eXp Mentor Program at mentorprogram@expreatly.net with: information about any active mentees you are paired with. You may not be compensated for pending Mentor Program transactions, should you off-board before that transaction closes.
 
Please notify the eXp Mentor Program to inform us that you will be leaving eXp. Please reach out to the eXp Mentor Program at mentorprogram@exprealty.net and let us know who your current mentor is and if you have any pending transactions with them. If a transaction remains with eXp through closing, the mentor and the program will receive compensation accordingly. However, if a transaction is being handled outside of eXp, payment arrangements need to be communicated to us by the mentee to facilitate accurate compensation.

Mentor Checklist

The Mentor Checklist clarifies the expectations of both the mentor and mentee.
 
Mentee Graduation
Once a mentee has met all graduation requirements and their required transactions have closed, they will be flagged for graduation review. There is no action required from the mentee/mentor to trigger this review, however, if you have any questions regarding Mentor Program graduation, please contact mentorprogram@exprealty.net.
 
Mentee Graduation Requirements:
  • Mentee has closed all required transactions with support and guidance from the mentor, along with all payments having been received.
  • Mentee has successfully completed all GO! Curriculum Sessions (Mentees paired before September 6 will continue with the previous curriculum, whereas those who were paired after will be added to the GO! Curriculum.)
  • Mentee has attended at least 50% of all state meetings.
  • Mentee has attended weekly eXp Leadership meetings.
  • Mentee has met with their mentor consistently throughout the duration of the Program.

FEES & TRANSACTIONS

COMMISSION SPLIT BREAKDOWN
The new agent (mentee) agrees to the following commission split on their Mentor Program required transactions. A 20% commission will be paid to the eXp Mentor Program for each transaction.
 
Program Fee
Agent shall pay a program fee (“Program Fee”) to participate as a mentee in the Program. The Program Fee shall be assessed against, and collected from, each closed Eligible Transaction, and shall be in an amount that is equal to twenty percent (20%) of the Gross Commission Income generated in each such Eligible Transaction. (For avoidance of doubt, Gross Commission Income is that amount generated in a Transaction PRIOR TO application of the Company Dollar and Contractor Dollar splits, as described in the ICA.) The Program Fee is not credited toward satisfying Agent’s Company Dollar Cap for any Capping Period. The Program Fee will be determined and deducted from Gross Commission Income at the same time that Company Dollar is deducted.

NEGOTIATIONS
The Mentor fee CANNOT be negotiated under any circumstance. They may not negotiate, barter services, or give gifts in order to waive the fees. To qualify, all required transactions must be completed in the licensed primary state with eXp. The mentee cannot select the transactions on which the Mentor Program 20% fee is paid.
 
The number of transactions to close CANNOT be negotiated by the mentee and/or mentor. Should a mentor deem that a mentee is ready to be an independent agent before they meet the transaction requirements to graduate, they are welcome to contact the State Broker Team to make a request to graduate the mentee early from the Program. Should the State Broker Team approve, the Mentor Program staff will graduate the mentee from the Program early and compensation commitments to the mentor will end on any transactions going forward from the date approval is received.
 
Should a mentor deem that the mentee might not be ready to graduate after their required transactions have closed, the mentor should then contact the State Broker Team directly to request an extension of the Program requirement for this mentee. The decision to extend for one/multiple transactions is made by the State Broker Team.
 
In the event that a mentee has multiple closings, specifically relating to the final qualifying transaction needed for graduation, the Mentor Program fee will be assessed on the transaction that has the earliest input/contract date.
 
For example, if the mentee's listing (seller) has a list date of April 25, under-contract date of May 20, and is closing on June 15, while the mentee's buyer has an under-contract date of May 22 and a closing date of June 10, the fee would be assessed on the property with the earliest start date (i.e. listing agreement date or under contract date), which, in this scenario, would be the listing.

TRANSACTIONS
The Mentor Program aims to provide guidance and mentorship to agents engaged in transactions while ensuring an equitable compensation structure. This structure ensures that experienced agents can share their expertise with newer agents, while facilitating their professional growth and development.
 
All transaction types (except referrals that are directed to another agent) are permitted within the Mentor Program, providing there is a minimum commission of $250 paid to both the Mentor and the Mentor Program. PERSONAL SALES
If the Mentee earns a commission on the buying side, the transaction follows the standard Procedures.
 
If the Mentee is the listing agent and takes no commission but wants the transaction to count towards graduation, follow the zero commission instructions within this manual in section 07 Zero Commission.
 
Please use the note section below in Skyslope to indicate that you intend to count this transaction towards graduation.
 
DUAL TRANSACTION
Dual listing transactions are permitted within the Mentor Program, providing a minimum commission of $250 is paid to both the Mentor and the Mentor Program; however, combining the fees for both sides of the transaction to meet the qualification criteria will not be allowed. The mentee will work with the mentor on both sides of the transaction and pay the 20% (10% to the Mentor and 10% to the Mentor Program) on each side, and both sides will count towards graduation (2 transactions).
 
REFERRALS
Inside Referrals
When a mentee is referring a client to an eXp agent and taking a referral fee, the Mentor fees are NOT applied. These transactions are not a part of the Mentor Program and do not apply towards graduation.
When any agent is referring a client to the mentee, the mentor fee and Program fee WILL be applied (20%). In these cases, a mentee is handling a transaction referred to them by another eXp agent or outside referral source- and if this is the case, their mentor must assist them on the transaction and the 20% fee will be applied. This will count towards graduation requirements.
 
Outside Referrals
When a mentee is referring a client to an outside agent & taking a referral fee, Mentor fees are NOT applied. These transactions are not a part of the Mentor Program and do not apply towards graduation.
When an agent outside of eXp is referring a client to a mentee the mentor’s fee and Program fee WILL be applied (20%). In these cases, a mentee is handling a transaction referred to them by an agent outside of eXp Realty- and if this is the case, their mentor must assist them on the transaction and the 20% fee will be applied. This will count towards graduation requirements.
 
Should a mentee find that Mentor fees are applied to a transaction on a Disbursement Authorization Form as described above, please contact the Transactions Team directly at transactions@exprealty.net to request the correction.
 
Zero Commission Mentor Agreement
In accordance with recent NAR regulations, in cases where no commission is provided, an agreement on compensation must be reached between the mentor and the mentee. This form is to be utilized when a mentee is taking no commission but wishes for their transaction to be considered a qualifying transaction within the program. Compensation for both the mentor and the program will be calculated at a rate of 20% of the agreed-upon commission price. Both fees will be applied.
 
 
A copy of the form will be provided to both the mentee and the mentor as proof of agreement. The mentee will be required to upload a copy of this form into Skyslope and indicate the additional commission information field that they wish the transaction to count towards graduation requirements.
 
Getting Help Past Three Transactions
If the mentee and mentor mutually agree to work together beyond the required residential transactions, eXp will waive its Program fee of 10%, but the mentee will be required to continue to compensate their mentor at 10% for as many transactions as agreed upon. In order for eXp to waive the Program fee (10%) on these additional transactions, the mentee MUST have taken the latest version of eXp required training. TITLES
The eXp Glossary below describes roles and titles of people a new agent will most likely encounter while at eXp Realty, and the eXp Program Teams they can connect with.
 
NON-STAFF
 
Sponsor
Your sponsor is the person most responsible for influencing you to join eXp. Your sponsor's role is to introduce you to eXp and guide you through the application process. Sponsors have no other expectations from eXp Realty besides introducing you to the company.
 
Sponsor Upline
Your upline may have resources or communications built for new-to-eXp agents. Please check with your sponsor, however, please know the information shared or accessible through staff is always the most current, so double-check your guides, the HUB, and connect with eXpert Care Concierges if you have any questions.
 
Mentor
Your assigned mentor is available to assist with residential transactions and local market data. They will guide you through at least your first three residential sales transactions.
 
Coach
A coach is someone that an agent hires independently to help with business structure and productivity.

STAFF
Team Integration Analyst (TI)
The TIA acts as a liaison between the Team Leader and eXp Staff, as your team works through the onboarding process.
 
Administrative Support Analyst (ASA)
The ASA is part of your state broker team. They will be able to answer some state-specific questions
 
Contract Compliance Analyst (CCA)
The CCA helps the Broker review files in Skyslope and communicate with agents about contract needs. They work at the direction of the Broker.
 
Regional Manager, Brokerage Operations (ROM)
The COE Director is a leader in brokerage operations who guides, coaches, and oversees the State Teams Operations and Staff
 
Designated Managing Broker (DMB)
Your state broker is available to assist with all state-specific questions regarding your license, association, contracts, documents, and compliance. DMB is an eXp term, your state may call them the Principal Broker, Designated Broker, Broker in Charge, or other similar names. They are the Broker responsible for your license typically.
 
Managing Broker (MB)
The MBs in a state assist the DMB with agent support in all areas of the state operations. An MB must be qualified to hold agent licenses and supervise agents in the state. From teaching, to file review, to agent contract or legal questions, your MB is here to help you.
 
Transaction Settlement Analyst (TSA)
The TSA is your point of contact for any commission or payment related questions regarding your transaction.
