Canadian Mentor Program - Mentor Overview
The Role of the Certified Mentor
A Certified Mentor is someone who has a passion for the field of real estate and for helping others. Mentors must apply, complete eXp Realty’s Mentor Certification Process, and commit to guiding mentees through their transactions within the Mentor Program.
Mentors will be eligible to receive remuneration from mentees for this assistance in the form of 10% of the commission from each mentee's transactions within the Program.
Certified Mentor Expectations
Because accountability and action are an integral part of success, we have set the following expectations for Certified Mentors:
- Upon accepting a mentee request, please reach out to your mentee via phone call, text, and/or email. Discuss their goals, expectations, schedule, etc. Should you find that after your initial call/meeting the mentee is not the best match, please reach out to cdnmentorship@exprealty.net with a request to have the agent reassigned.
- Maintain regular communication with your mentee throughout their participation in the Program
- Review your mentees client/transaction documents in a timely manner
- Make yourself available for shadowing/training opportunities with your mentee
Below are examples of appointments that a mentee might shadow or role-play with their mentor:
- Listing Appointment
- Buyer Presentation
- Showing Appointment
- Open House
- Offer Presentation
- Home Inspection
- Repair Negotiation
- Final Walkthrough
- Closing Appointment
- Attend Provincial Meetings & Training Sessions
- Inform Mentor Program Staff if your mentee becomes unresponsive
- Complete the Deal Confirmation Sheet for Program transactions
- Notify the Mentor Program of transactions that will not count within the Program
- Actively participate and guide your mentees through their Program transactions
Becoming Certified
Approval of applicants to become mentors is dependent upon the provincial broker team and the following requirements:
- Completion of at least eight real estate transactions within the last twelve months.
- Completion of at least two transactions within the eXp Realty system.
- Complete the required steps to become certified (application, broker approval, etc).
- Completion of required training courses.
Things to know before applying
Mentor applicants are suggested to have completed at least eight real estate transactions within the previous 12-month period, with at least two of these transactions closing at eXp Realty. If you do not meet these criteria, but would still like to pursue mentoring, please contact your provincial broker team. Mentor applicants should have advanced proficiency and a full understanding of how to write contracts and transact real estate within the rules and regulations of their local municipality(s). Mentors must commit to being accessible to their mentee(s) during reasonable working hours and do their best to respond reasonably quickly to their mentee(s).
Mentor applicants must be in good standing with their local, provincial, and national realtor associations and must have the time, interest, and bandwidth to mentor newly licensed agents. They must be available to assist them through their Program transactions. A Mentor applicant must also be in good standing with the public and not have any complaints or grievances filed against them. If you have had grievances filed against you, but would still like to pursue mentorship, please contact your provincial broker team so that they can assess the grievance and how the event was handled/resolved.
Applying
Once you have met the requirements, apply by following the instructions below:
- Complete the Canadian Mentor Application
Once your application has been received, it will be reviewed by your provincial broker team.
APPROVED
Approved Applicants will receive an email with the confirmation that they have been approved by their broker.
DECLINED
Declined Applicants will receive an email that indicates that they have been declined with instructions to follow up with their broker. (If you have not received an email approving (or declining) your application after two weeks of having submitted your application, please follow up with your provincial broker team directly).
Once Approved
- Complete the Canadian Mentor Certification Course
If the Mentor application is approved, a confirmation email is sent including a link and invitation to take the Mentor Certification Course in your eXp learning platform. You are required to complete this course to become certified. You may complete the course on your own time/schedule, but the sooner you complete the course the sooner you will become certified and able to accept pairing requests.
After completing the online course, you will be processed for certification. This process can take up to 7-10 business days.
If you do not receive a confirmation email within 10 business days of completing your certification curriculum, please first check your spam folder. If you still cannot locate the email, please send an email to cdnmentorship@exprealty.net to check your status.
*In this email, please indicate that you have finished the Mentor Certification course and provide the date of completion.
Once certified, you will be shown as available in the system for pairing requests. If you have a specific mentee you would like to request to work with please send an email to cdnmentorship@exprealty.net with their full name and eXp email address.
*Please only request mentees who are FULLY onboarded with eXp.
Accepting or Declining Mentees
Once certified, please keep an eye on your eXp email inbox for pairing requests (be sure to also check SPAM).
Mentees are paired with mentors based on MLS, postal code, city, and province. The goal of the Mentor Program is to pair a mentee with a mentor in close proximity in order to take part in shadowing and in-person meetings.
*We do not pair outside of a two-hour drive time unless it is by request or approved by the broker. Our systems give us a recommended mentor list based on these items.
Once we have identified a mentee in your area who is in need of a Certified Mentor, we will send a pairing request email to your eXp email address.
If you are able to work with this mentee, please click the green “Accept Mentor Request” button and reach out to them to introduce yourself. If for any reason you’re unable to accept this mentee, please click the red “Decline Mentor Request” button. If declined, there is no need to let us know why - this does not count against you.
If there is no action taken within 48 hours, the mentee will be reassigned to another mentor.
*Please accept or decline mentee pairing requests as soon as possible
Upon acceptance of the pairing request, you are officially paired with the mentee and ready to begin working with them. Now is the time to connect with your mentee!
I just accepted a mentee, now what?
Once you have been paired with a mentee you will receive their name and contact information. We encourage you to connect with them as soon as possible!
During your initial conversation, it’s important to discuss the following:
- Goals
- Expectations
- Experience
- Areas of Expertise
- Schedule
- Availability
- Communication Preferences
If it’s determined that you and the mentee are not a good fit for one another, please send us an email at cdnmentorship@exprealty.net to initiate reassignment of the mentee.
Upon pairing, please reach out to the mentee a total of three times; using phone call, text, or email, before requesting that the mentee be reassigned due to unresponsiveness. Please let the Mentor Program know after three attempts, and one week of attempting, that the mentee is unresponsive by emailing us at cdnmentorship@exprealty.net. Please provide as many details as possible and any communication logs you may have saved.
Supporting your Mentee
Your role as the Certified Mentor is to support agents through three transactions within the Program.
You will achieve this by maintaining consistent communication with your mentee and being aware of any upcoming transactions.
Once an upcoming Program transaction has been identified, please submit the Deal Confirmation Sheet to inform our team that you are working with your mentee on this transaction - this will help ensure that you are accurately compensated as their mentor.
You should review your mentee's transaction/client documents and help them navigate through the entire transaction, from contract to close.
If advanced support is needed, please assist your mentee with contacting their provincial broker team - this will give them a better understanding of how to navigate challenges throughout the duration of their career.
If your mentee is initiating a transaction that you are not comfortable guiding them through, please direct them to their provincial broker team for support and notify our team that the transaction will not count within the Program. This notification can be submitted via email at cdnmentorship@exprealty.net.
As a mentor, you can easily keep track of your mentees' progress and details using My eXp.
Here’s what you’ll be able to view:
- Your assigned Mentees and their Contact Information
- Your Mentees’ Transaction Requirements
- Your Mentees’ Transaction Details
Here’s a video tutorial outlining the process for accessing this information.
Please note the following:
- Waived transactions are not subject to Mentor Program Fees
- Waived transactions do not count toward Mentor Program graduation requirements
- Mentors do not provide support on waived transactions
- Mentors are not compensated for transactions that take place outside of the Program
Mentor Program Transactions
To qualify for graduation from the eXp Mentor Program, each mentee is required to complete three Program transactions.
All transaction types (with the exception of outgoing referrals) are permitted within the Mentor Program, providing that the mentor/mentee are in agreement, and the mentor is qualified to provide guidance on the specific transaction.
For questions regarding Program transactions, please reach out to the Mentor Program at cdnmentorship@exprealty.net.
Mentor Program Fee
At the time of opting into the eXp Mentor Program, the mentee agrees to the following commission split on their Mentor Program transactions: A 20% Mentor Program Fee will be paid to the eXp Mentor Program for each Program transaction.
The 20% Mentor Program Fee is collected in two parts:
Part 1: Mentor Fee
A Mentor Fee of 10% GCI is paid to eXp on each transaction within the Program - This 10% is then paid directly to the Certified Mentor to compensate them for their support on the transaction.
Part 2: Program Fee
A Program Fee of 10% GCI is paid to eXp on each transaction within the Program - These fees support the costs of running the Program (staff support, curriculums, training, resources, etc.)
* The Mentor fee CANNOT be negotiated under any circumstance. They may not negotiate, barter services, or give gifts to waive the fees.
The Mentor Program Fee is discussed more in detail in the Mentor Program Manual.
For questions or clarification regarding the Mentor Program Fee please reach out to the Mentor Program at cdnmentorship@exprealty.net
Mentor Program Graduation
Once a mentee has met all graduation requirements and their required transactions have closed, they will be flagged for graduation review. There is no action required from the mentee/mentor to trigger this review, however, if you have any questions regarding Mentor Program graduation, please contact cdnmentorship@exprealty.net
Mentee Graduation Requirements:
- Mentee has closed three transactions within the Program with the support and guidance of their mentor (these transactions must be closed and funded prior to graduation review)
- Mentee has successfully completed the New Agent Bootcamp curriculum
GETTING HELP PAST THREE TRANSACTIONS
If the mentee and mentor mutually agree to work together beyond three transactions, eXp will waive its Program fee of 10%, but the mentee will be required to continue to compensate their mentor at 10% for as many transactions as agreed upon. In order for eXp to waive the Program fee (10%) on these additional transactions, the mentee MUST have met the graduation requirements for the Program. NPS SURVEYS
The NPS survey initiative aims to enhance the mentorship experience within the Mentor Program by using agent feedback to elevate its quality. Mentees will receive surveys to
complete throughout their progress in the Mentor Program. Mentors will have a chance
to provide feedback on their experience in the Mentor Program as well. Survey results
will assist the Mentor Program in refining and creating meaningful connections within
the eXp agents community.
*The policies, regulations, procedures, and fees in this manual are subject to change
without prior notice, if necessary, to keep Mentor Program policies in compliance
with laws and requirements.
